Bookkeeping activities will be conducted on behalf of your business to ensure that all financial information is up to date. This includes monthly reconciliation of bank and credit card statements, accounts receivable and payable, maintaining data feeds into accounting software, managing fixed asset registers, calculating depreciation for taxes, and providing ongoing troubleshooting and support.
Preparation of monthly financial and management reports based on data entered and reconciled in accounting software. This includes Profit & Loss statements, Balance Sheet, Accounts Receivable Aging, and Cash Flow reports, typically delivered by the 15th of the following month with access to a reporting dashboard.
Management of the full accounts payable process to ensure timely and accurate payment of business expenses. This includes vendor setup and management, invoice processing, payment scheduling through ACH/checks/online systems, reconciliation, monitoring due dates to avoid late fees, maintaining vendor relationships, and establishing approval workflows for compliance and internal control.
Oversight of client invoicing and collections to ensure timely payments. This includes invoice preparation, use of online payment platforms (e.g., Bill.com), tracking overdue balances, sending payment reminders, maintaining aging reports, and providing visibility into outstanding receivables for review and follow-up.
Assistance with annual budget creation and quarterly financial forecasting based on historical and current data. This includes analysis of revenue trends, margin shifts, and financial performance to support proactive planning and strategic decision-making.
Ongoing monitoring of business cash inflows and outflows to maintain healthy liquidity. This includes preparation of cash flow statements, forecasting cash requirements, and recommending fund transfers and savings allocations to optimize working capital and financial stability.
Coordination with tax professionals and preparation of supporting documentation for quarterly and annual tax filings. This includes maintaining fixed asset registers, calculating depreciation, preparing sales tax returns and remittances, and ensuring tax compliance across relevant jurisdictions.
Complete payroll management on a bi-weekly or semi-monthly basis. This includes calculating wages, processing direct deposits, managing benefits and accrued leave, filing quarterly payroll reports, handling state and federal unemployment taxes, completing annual worker’s compensation audits, and issuing annual wage forms (W-2s, 1099s).
